Privacy Policy

This notice explains how Matrafisc Dance handles personal information on this website, including enquiries, language localisation and optional external media. It is intended to support transparency under the UK GDPR, the Data Protection Act 2018 and, where applicable, the EU GDPR.

1. Who we are

For the purposes of this website, the data controller is Matrafisc Dance Company, based in Manchester, United Kingdom. Privacy enquiries can be sent to [email protected].

2. Personal data we collect

We aim to collect only the information needed to operate the website and respond to people who contact us.

  • Enquiry data: your name, email address, enquiry type, selected production (where relevant), and the message you send.
  • Correspondence: information contained in subsequent email or telephone conversations with us.
  • Technical data: standard web requests necessarily expose information such as an IP address, browser and device information to our hosting/CDN providers and services requested by your browser.
  • Language preferences: the language you choose and a country code used only to choose between the English and Italian versions.

3. Language and country detection

The website defaults to English. If your browser reports Italian as a preferred language, or if country-level IP localisation indicates Italy, the website may open the Italian version and ask whether you would prefer English.

We first try a same-origin Cloudflare country signal when available. If that is unavailable, the browser may request the visitor's country from the GeoJS country endpoint. We use only the returned country code for language selection and do not store a raw IP address ourselves for this purpose. GeoJS states that it does not keep access logs and that its traffic passes through Cloudflare; its own privacy terms govern that service.

A language you choose manually overrides automatic detection.

4. Cookies and local storage

We do not currently run advertising or analytics cookies on this website. We use limited browser storage for functionality:

  • matrafisc-language remembers a language you explicitly choose;
  • matrafisc-media-consent remembers whether you allowed optional external media;
  • short-lived session values may remember a country code and whether the automatic-language prompt has already been shown during the session.

These preferences are used to provide the language/privacy choices you request. You can remove them through your browser settings. You can also reopen the media choice from the “Privacy choices” button in the footer.

5. Contact form and FormSubmit

When you submit the website contact form, the data is sent to FormSubmit so that it can be delivered to the Matrafisc Dance email inbox. FormSubmit states that submitted form data is processed for delivery and that submissions are retained for up to 30 days in its submission archive.

Do not include sensitive personal data in the message unless it is genuinely necessary for your enquiry.

6. YouTube, Vimeo and Instagram

Some repertoire pages include media hosted by YouTube, Vimeo or Instagram. These embeds are blocked by default. They are loaded only after you choose to allow external media. Once loaded, the relevant provider may receive your IP address and device/browser information and may use cookies or similar technologies under its own privacy terms.

You can decline external media and still use the rest of the Matrafisc website.

7. Why we use data and our lawful bases

  • Responding to enquiries: our legitimate interests in communicating with people interested in the company, and where an enquiry concerns a possible booking or agreement, taking steps at your request before entering a contract.
  • Operating and securing the website: our legitimate interests in providing a reliable and secure website.
  • Language localisation: our legitimate interest in showing visitors an appropriate language version, balanced against the limited country-level data involved.
  • Optional external media: your consent. You may change this choice at any time through “Privacy choices”.
  • Legal obligations: where information must be retained or disclosed to comply with applicable law.

8. Who may receive data

Depending on how you use the site, information may be processed by our email provider, website hosting/CDN provider, FormSubmit, GeoJS for country-only fallback localisation, and YouTube, Vimeo or Instagram after you allow their media.

Some suppliers may process information outside the United Kingdom or European Economic Area. Where data protection law requires safeguards for an international transfer, the relevant controller or processor must use an applicable transfer mechanism or other lawful safeguard.

9. How long we keep information

General enquiry correspondence is normally kept for up to 24 months after the last meaningful contact, unless there is an ongoing relationship or a legal, contractual or safeguarding reason to keep it longer. Contractual and financial records may be retained for the period required by applicable law. FormSubmit states that its submission archive is retained for 30 days. Browser preferences remain on your device until you change them, clear browser storage or the browser removes them.

10. Your data protection rights

Depending on the circumstances and the law that applies to you, you may have rights to be informed, access your data, correct it, request erasure, restrict processing, object to processing, receive portable data, and withdraw consent where consent is the basis for processing. Some rights are subject to legal conditions and exemptions.

To exercise a right, contact [email protected]. You also have the right to complain to a supervisory authority. In the UK this is the Information Commissioner's Office (ICO). In Italy you may contact the Garante per la protezione dei dati personali.

11. Children

This public marketing website is not designed to collect personal information from children. If you contact us about a child or young person, provide only information you are authorised to share and that is necessary for the enquiry.

12. Security and changes

We use reasonable technical and organisational measures appropriate to a small arts organisation and the nature of the data processed. No internet service can guarantee absolute security. We may update this notice when our website, suppliers or data practices change; the latest revision date will appear above.
